We are looking for an experienced Facilities/General Affairs employee with an affinity for (medical) equipment. Are you comfortable with minor maintenance or planning tasks? For the Facilities department, we are looking for:

Facilities Employee - Equipment Management for 40 hours per week in Groningen

In this role, you will support the primary process within the locations of the ICON business unit ICON Early Clinical & Bioanalytical (IEB)” in Groningen, the Netherlands. You will work within a close-knit team in the pleasant Facilities department. The working atmosphere within ICON Netherlands is informal with short lines of communication; the team consists of a total of ten facilities employees and eight front office employees spread across five locations in Groningen, Assen, and Utrecht.

What you will do:

You are responsible for a wide range of support activities necessary for the smooth running of all studies on the effectiveness of new medicines in our clinics. As our new colleague, you will provide support to both the internal and external organization. You will regularly act as the link between these organizations. You will manage (medical) equipment, schedule maintenance, and perform minor repairs yourself. You will also be a point of contact for the purchase of new equipment.

You will collaborate not only with your own departments but also with suppliers and technicians. After thorough training, you will be part of the on-call service. In short, a versatile and challenging role!

You will perform all common tasks in and around the buildings, such as:

  • Management of (medical) equipment
  • Planning of external maintenance
  • Purchasing new equipment
  • Relocations (preparation, execution, and handling).
  • On-call service.
  • Minor maintenance of buildings and grounds.
  • General facility work.
  • Reproduction tasks.

What you bring:

Minimum of a completed MBO-4 education, for example, in the direction of facilities, technical, or comparable. You get energy from providing support to the organization, both internally and externally.

  • You are independent and possess excellent coordinating skills.
  • You are customer-, result-, and quality-oriented.
  • You master the English language in word and writing.
  • You have excellent computer skills (In addition to MS Office, a lot of business software is used).

We are currently seeking a Facilities & Admin Coordinator to join our diverse and dynamic team. As F&A Coordinator, you will play a vital role in ensuring the smooth operation of our facilities and providing administrative aid to various departments.

What you will be doing:

  • Assisting with the day-to-day management of facilities, including coordinating maintenance, repairs, and vendor services.
  • Managing office supplies, equipment, and inventory to ensure availability and efficiency.
  • Coordinating office moves, renovations, and space planning activities as needed.
  • Providing input to the Facilities Manager and administrative team in various projects and initiatives.
  • Daily purchasing activities for the clinic and other departments that is needed to perform clinical trials.
  • Medical equipment maintenance

Your profile:

  • Pre-associate degree in business administration, facilities management, or a related field preferred.
  • Previous experience in facilities management, administrative duties, or related roles is advantageous.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Technical knowledge to perform maintenance on materials and medical devices when needed.
  • Availability to perform on an on-call arrangement if needed.
  • Pro-active and hands-on mindset.
  • Bilingual in English and Dutch.
  • Proficiency in Microsoft Office Suite and familiarity with facility management software is a plus.
  • Excellent communication and interpersonal skills with a customer service-oriented approach.
